If you think about it, you as an organization are likely to have many ways to store the information you collect on those you know or what to know the most... event though some items are as simple as email address, phone number, or gender you and all staff must know where and how they are stored.
You need to have a documented list of these data items and each database user should understand.
Again, your answer must be simple and concise. Having a documented storage will enhance data quality and universal collection of the information.
