An Easy Way to Reduce Expenses

It's trendy to talk about being paperless. In fact, we could go as far as saying that it's now an expectation.

Why is "going paperless" such a benefit? A clever answer is the impact on the environment. The quick explanation is that by using less paper, there will be fewer trees cut down, and we (and the earth) need trees for oxygen.

Another intelligent reason for "going paperless" that's a little closer to home is your organization's bottom line. For example, by switching your paper billing to online billing, you can save on printing costs and mailing costs. Your Bill Me donors can view their account balance and billing statements online, plus they can download their latest statement and make an online credit card payment on the same web page. This process, together with emailing PDF statements, cuts on your costs and also empowers the donor by giving them more information when they want it.

Pay a Pledge Directly to a Designated Account

Pledges and designation payments can come in many forms. They can be made directly from the donor to his/her designated account, they can be from his/her organization to the designated account, or they can come from a third-party processor to the designated account.

How should you record those pledges and payments and designations while making sure that:

  1. Andar will not create a Balance Due for the donor, and
  2. The envelope Deposit will exclude that payment in the check-and-balance process, and
  3. The Donor Choice Payout Process will not count that designation when determining the payable amounts for that designated agency?

We have an answer for you! On the pledge/payment transaction, use one of the two Pay Direct Payment types within Andar, “Pass Through” or “No Admin. Pay Direct.” Always make sure that:

  • The pledge is fully designated
  • The pledge and payment amounts are equal to each other (and are also equal to the total of the pay-direct designation)
  • The pledge doesn’t include any non-pay-direct designations

Last Minute Receipt/Tax Letter Reminders

Issuing receipts can seem complicated. The easiest way to look at it is by breaking it down to two steps.

  1. Create - Use the Create Receipts menu option to create Pending receipts. While they are Pending you have the opportunity to review/verify your data.
  2. Issue - It’s during the Issue step that receipt numbers are assigned and a record of the receipt is added to the donor profile.

Below are some common obstacles:

  1. When you run the receipts to Pending, a report is created: the Pending Receipts Report. Do NOT use this report to create your receipts. This report is only to verify your data.
  2. After you have submitted the Pending receipts, wait for the job to complete, then refresh or open the Receipts Maintenance screen. The screen can get locked if you’re trying to refresh while Andar is trying to load the new Pending receipts.
  3. When you Issue the receipts, by default receipts that are missing a pecked postal address are not issued. This is true even if you're sending the receipts by email. If you wish to issue receipts regardless of existence of a postal address, you can check the box “Issue receipts without an address.”

Report Highlight: Customize the Columns

Would you like to customize the data, columns, or labels in Andar/360 reports? Did you know you could?

The Campaign Monitoring Report, Transaction Register Report, and Extract Table Reports allow this through the "Columns tab". This tab allows you to choose which columns to appear in the report and to customize the report layout. Your column selections will affect the output in both the PDF format and the CSV format.
